Privacy policy

What Fido keeps, and what it does with it.

Fido holds your team's pipeline, so this is written to be read. No advertising, no selling data, no tracking you around the web.

What we collect

Your account

Your name, your email address, and a password. We store the password as a hash, not the password itself, and when you set one we check it against a list of known breached passwords without sending the password anywhere. We also keep your sign-in sessions and, if you turn on notifications in the iPhone app, a device token so we can send them.

What your team puts in

Companies, people, deals, tasks, notes, lists, imports from CSV, and the contact details in them. This is your data and you control it.

What Fido captures for you

If you connect Google, emails and meetings that match a company or a person already in Fido are attached to that record. If your team connects a call recording provider, the recording's title, summary and transcript are attached to the matching company. If you press Enrich on a company or person, we ask a data enrichment provider for public details such as industry, headcount, location and a logo.

How Fido is used

An audit log of who changed what, so a team can see its own history. Ordinary server logs for keeping the service running. We do not run analytics or advertising trackers on the website or in the app.

When you write to us

The emails you send to support and whatever you put in them.

Gmail and Google Calendar

Connecting Google is optional and per person. Fido asks for read only access to Gmail and Calendar and for your Google email address, and nothing else. With that grant Fido:

  • Reads recent messages and events, keeps the ones that match a company or person in your CRM, and attaches them to that record.
  • Never sends mail, never edits, moves or deletes a message, and never changes an event.
  • Stores the matched messages and events in your account so your team can see them on the record.

Fido's use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. Google data is used only to provide the capture feature you turned on. It is not used for advertising, it is not sold, and no person at Fido reads it except with your permission to help with a support request, or where the law requires it.

You can disconnect from Settings in Fido or from your Google account's permissions page at any time. Disconnecting stops capture; it does not affect your sign-in, and messages already attached to records stay until you delete them.

AI features

Meeting prep, list descriptions and briefs, and contact extraction from email threads are written by an AI model. When you use one of those features, the relevant records are sent to our AI provider to produce the text, and the result is stored on your account. Under our agreement with the provider, that data is not used to train its models. Nothing is sent to the model unless you or someone on your team asks for one of those features.

On your iPhone and iPad

  • Face ID is handled by iOS. Fido never sees your face. If you turn on Face ID sign-in, your password is kept in the device keychain, protected by Face ID, and it never leaves the device.
  • Notifications need a device token, which we keep only while notifications are on.
  • The app keeps a copy of your records on the device so it opens quickly. Signing out removes it.
  • There are no third party analytics or advertising SDKs in the app.

Who sees your data

Your teammates in the same Fido account. Beyond that, only the companies we need to run the service, each bound to use the data only for that purpose:

  • Our hosting and database providers, in the United States, where your data is stored encrypted at rest and in transit.
  • Our email provider, to send sign-in links, invites and notifications.
  • Google, when you connect it, as described above.
  • Your call recording provider, if your team connects one.
  • Our data enrichment provider, when you press Enrich, which receives the company's domain or the person's name and company.
  • Our AI provider, when you use an AI feature.
  • A map provider, which receives the addresses you place on a map.

We do not sell personal data and we do not share it for advertising. We will hand over data if the law requires it, and we will tell you when we are allowed to.

How long we keep it

  • Your records: for as long as your account is open.
  • The audit log: twelve months.
  • After you ask us to delete the account: everything is gone within thirty days, and out of backups within a further thirty.
  • Invoices and payment records: as long as tax law requires.

Your choices

  • Export everything as CSV from inside the app, any time.
  • Correct or delete any record yourself.
  • Disconnect Google, turn off notifications or Face ID, from Settings.
  • Ask us to delete your account or to send you a copy of what we hold: support@fidocrm.com from the address you sign in with.

If you are in the UK, the EU or another place with data protection law, you have the rights that law gives you, and you can use them by emailing us. We will not treat you differently for doing so.

Cookies

The web app sets one cookie, to keep you signed in. The marketing pages set none. There are no advertising or cross site tracking cookies anywhere on fidocrm.com.

Children

Fido is a work tool for people aged 16 and over. We do not knowingly collect data from anyone younger, and we delete it if we learn we have.

Changes to this policy

If we change how we handle your data in a way that matters, we email every account owner before it takes effect. Wording fixes are posted here with a new date at the top.
